Dentaid is a leading Spanish company in the research and development of oral health solutions, with a clear objective: to promote and improve people’s oral health throughout their lives.
It does this through research, the dissemination of knowledge and the development of innovative products, offering effective solutions underpinned by science and a global approach encompassing care, prevention and treatment.
To this end, it has the Dentaid Research Center, an international reference center where a multidisciplinary team of experts conducts research into the oral microbiome and develops advanced solutions for the prevention and treatment of various oral pathologies.
Dentaid oral health products
Dentaid is responsible for the sector’s leading brands, such as VITIS, INTERPROX, PHB, PERIO-AID, XEROS Dentaid, DESENSIN and HALITA, and is present in over 60 countries. It also has subsidiaries in Germany, Belgium, Chile, Colombia, Spain, the Netherlands, Italy, Luxembourg, Mexico and Peru.
In order to more easily and efficiently manage maintenance and engineering operations at its two production plants in Barcelona, Dentaid has incorporated CARL Source as maintenance management software in 2019.
Dentaid’s strategic transition to CMMS
Dentaid, as a company in the healthcare sector, has to balance its business and maintenance with strict regulations that require constant audits. Consequently, moving from an Excel-based maintenance system to a computer-aided maintenance system(CMMS) became a strategic necessity. To achieve this digitization, the company established clear criteria for selecting a system that would meet its high standards and requirements. The search focused on a solution that would :
- Ease of use for maintenance technicians: a user-friendly system that integrates seamlessly into the daily tasks of technicians, who form the backbone of maintenance operations.
- Integrate with existing systems: a system capable of coexisting and communicating with other systems in the region, including SAP for accounting and purchasing, and quality assurance systems. Ensure uninterrupted operation and workflow continuity.
- Centralize information: a platform that could compile information and data from different players and consolidate all relevant information into a single system, optimizing management and facilitating decision-making.
- Meet regulatory compliance: software that not only complies with industry regulations, but also facilitates compliance with the company’s rigorous standards for quality assurance and IT requirements.
- Beflexible and adaptable : a highly configurable CMMS that allows you to adjust the ergonomics and functionalities available to suit the needs of different users and departments.
Jonathan Iglesias, Production Engineering and Maintenance Manager: “Audits are no longer a concern for our company. During a visit, I open my computer and provide the auditor with the information he needs. In fact, repeat auditors recognize the efficiency of the CMMS system and ask directly for specific data. I have 6 years of paperless audits under my belt: all information is traceable, validated, signed and accessible in real time. In a company subject to pharmaceutical regulations, this is a definite advantage” .

Deployment of CMMS software CARL Source
The transition to CMMS was carried out meticulously and efficiently, defining phases, objectives and quality criteria to guarantee its optimum use in the future, with the support of an expert consultant from CARL.
Setting up a team and initial configuration
At the start of the project, a work team was set up to parameterize the system. This step was decisive in establishing an organized and efficient structure that facilitated subsequent work. Work was also carried out to obtain a better nomenclature for machine coding, to ensure the fastest possible searches during work.
Test and validation phases
The deployment process was carried out in several stages, using up to four different databases (test, test and mobility, validation and production). Following successful data transcription and substantial testing of the relevant databases, real-time tests were carried out at a selected industrial site.
Digital transition and training
On April 4, 2019, a milestone event took place with the first intervention on the system, consolidating the total transition to digital operations and eliminating the use of paper since its commissioning. Adaptation was rapid, thanks to manuals, training and the use of the mobile module CARL Touch which has become the key tool for technicians. What’s more, by the end of the implementation, the administrator had already mastered the software, which further facilitated the process. In just one month, working without the tool had become unthinkable for most users.
The initial project included only corrective and preventive measures, but by the end of the rollout it had been decided to add improvements, adjustments and change controls. From 2 to 5 workflows.
“From there, new functions were gradually integrated, such as project management, quality change control and contract management. This was possible because users themselves recognized the system’s potential. ” explains the client.
Daily work
Each day, the technician reviews the work in progress and schedules the work with his team via the application. The coordinator supervises the tasks and adjusts the day according to visual workload indicators. As administrator, Jonathan keeps track of projects and costs. In summary, we have :
- Process optimization.
- Reduced review and approval times.
- Improved day-to-day maintenance management.
- Facilitate planning and detection of planning improvements.
- Simplified collaboration between teams.
- Improved accuracy and adherence to budgets.
- Eliminate audit uncertainty.
Results: operational efficiency, cost control and proactive maintenance
Use of maintenance and equipment management software CARL Source
Since its implementation, the system has functioned perfectly, with no significant interruptions or rejections from technicians. This wide and successful adoption can be attributed to the strong involvement of Dentaid’s teams throughout the deployment process, the meticulous planning and execution of every step of the way, and the continuous improvement, adjustment and extension of the functionalities CARL enables.
Jonathan Iglesias explains: “With CARL, we manage preventive and corrective maintenance, upgrades, change control in the industrial environment, projects, equipment subject to calibration, budget and expenditure control by zone, as well as maintenance contracts and legal regulations relating to equipment under engineering jurisdiction. I use all modules” .
Since 2019, more than 35,000 interventions have been implemented and effectively monitored and managed by CARL Source.
“All information is traceable, validated, signed and accessible in real time. In a company that operates under pharmaceutical regulations, this is definitely an advantage.”
Jonathan Iglesias, Production Engineering and Maintenance Manager, DENTAID.
Project results: more strategic, proactive management
The system’s flexibility has enabled Dentaid to customize and precisely define component lifetimes, anticipate potential failures and optimize preventive maintenance plans, an action which has ultimately prevented unnecessary wear and tear and saved the environment. extend machine life.
The ability to monitor equipment running 24 hours a day enabled them to act proactively in the event of deviations, thereby limiting operating parameters and significantly reducing downtime. The software facilitated the identification of recurring patterns and symptoms in the machines, leading to a more proactive and precise maintenance strategy, minimizing corrective interventions. In addition, they have integrated availability and completion rate indicators that help them to better adjust and plan maintenance strategies, thus improving equipment availability and increasing the plant’s overall EOE.
The offices of each profile haveoptimized and facilitated the work of every player in the chain, from the operator to the quality assurance department.
CMMS has also had an impact on financial and purchasing management. Despite the increase in consumables, it has been possible to keep maintenance costs under control. By actively monitoring cost trends, enabling proactive adjustments and more specific budget planning, budget variances were avoided or, failing that, perfectly controlled within the limits of the forecast variance.
This tight control has facilitated more efficient inventory management, reducing the need to keep large quantities of spare parts in stock and the associated passive stranded costs.
CARL has also improved communication between departments. For example, the quality assurance department can now access the data it needs directly, without having to call on other teams, facilitating smoother, more efficient transmission of information.
Personalization and real-time monitoring have been crucial in controlling costs and optimizing processes. In addition, forecasting and adjustment capabilities have improved considerably, enabling us to better anticipate potential problems.
In short, the integration of CARL Source into its operations has not only boosted productivity and efficiency, but also enabled more strategic and proactive management.
